Cash sales
Purpose
- Record a walk-in or counter sale paid now. Money goes into the Received In bank or cash account. The customer does not keep an outstanding invoice.
- For bill now, pay later, use a Sales Invoice, then a Receipt.
- Screen: Sales → Sales Document → Cash Sales. New Cash Sales or double-click a row.
- Fast Cash Sales (spreadsheet, totals only) is on the Cash Sales listing toolbar. Same idea as Fast Sales, and it creates Cash Sales.
- Assistant: Sales & money in → Cash sale, or type Record a cash sale. Pick the customer (or your Cash walk-in customer), what you sold, price, and where the money went (Received In). Confirm before posting.
- Do not type “how to record a cash sale” if you want the wizard. Use Record a cash sale.
Before you start
- A customer exists. Many companies keep one Cash / walk-in customer.
- A Bank Account or Cash Account exists on the chart of accounts for Received In.
- Default Cash Sales account on Account Setup helps fill line Account.
- Date on or after conversion for new work.
Screen — create
- Sales → Sales Document → Cash Sales → New Cash Sales.
- Select Customer (required).
- Select Received In — the bank or cash account that received the money.
- Leave Bill No. blank for Next No. Set Date (required).
- Optional: Bank Charges, cheque or reference, project, remark, agent.
- Enter line items (description, qty, unit price, Account, tax) as on a sales invoice.
- Click Save.
- Print, email, or Submit E Invoice as needed.
From quotation, sales order, or delivery order
- Select the source on its listing → Transfer or Copy.
- Tick Cash Sales → Transfer or Create.
- Set Received In. Save.
Assistant
- Record a cash sale.
- Customer (or Cash customer), items, amounts, Received In.
- Confirm. Save, or yes.
Fast Cash Sales
- On Cash Sales Listing, open Fast Cash Sales (fighter-jet).
- Follow the Fast Sales rules: one row is one document; compulsory customer, date, account, amount; then Generate.
- Each row becomes a Cash Sales document, not a credit invoice.
Sales invoice and cash sales
- Sales Invoice: the customer still owes you. There is no Received In on the invoice (use Receipt later). It shows on aging and the statement until paid. Use it for credit terms.
- Cash Sales: the customer does not still owe you. Received In is on this document. It does not sit as outstanding. Use it when they pay at the counter.
- Do not also enter a Receipt for the same cash sale, or you bank the money twice.
If something goes wrong
- Received In empty. Create a bank or cash account and pick it.
- Customer still on aging. You saved a Sales Invoice. Collect with Receipt, or delete and use Cash Sales.
- No Fast Cash Sales. Use the Cash Sales listing toolbar. The Sales Invoice listing opens Fast Sales.
- e-Invoice. A walk-in may need a Cash customer with e-Invoice category or TIN, or a consolidated e-Invoice.
