Sales cycle at a glance

Purpose

  • See the quote-to-cash path and pick the shortest document chain for the job. You do not have to raise every document.
  • Screen: Sales → Sales Document, then the document you need. Reports: Sales → Sales Report.
  • When the customer still owes you, finish on a Sales Invoice. When they pay now, finish on Cash Sales.

Menu path

Assistant

  • On AI Agents, open Sales & money in.
  • Bill a customer — sales invoice (they still owe you).
  • Cash sale, or Record a cash sale — cash sales (paid now).
  • Credit note, or Issue a credit note — customer credit note.
  • Customer receipt, or Receive payment from a customer — receipt and knock-off.
  • Money received — cash-book receipt. That is money in that is not collecting an invoice.
  • There is no wizard for quotation, sales order, delivery order, Fast Sales, deposit, debit note, refund, or reports. Ask “how to…” for those guides.
  • Do not type “how to bill a customer” if you want the live invoice wizard. Use the chip Bill a customer.

Before you start

  • Company dates are saved. New work is dated on or after System Conversion Date. Unpaid bills from the old system are past invoices, not this cycle.
  • Customers exist. Credit terms, agent, and area exist if the customer screen requires them.
  • Default Sales and Cash Sales accounts on Account Setup, so the line Account fills itself.
  • Bank or cash accounts on the chart of accounts if you will take payment.
  • Document numbers exist. Leave Bill No. or Voucher No. blank to use Next No.
  • Premium: stock items and locations if you sell inventory.

Steps

  • Choose the chain below. Skip documents you do not need.
  • Create the first document with New, or F2 from the listing.
  • To continue the chain: on the listing, select the row, then Transfer (same customer; the source becomes Transfer) or Copy (new document; the source stays). Tick the destination, then Transfer or Create. Edit and Save.
  • Collect later with Receipt. Check who still owes you on Aging or Statement.
  • You can go straight to Sales Invoice or Cash Sales. Quotation → sales order → delivery order is optional.

Which documents to raise

  • Price offer only. Raise Quotation. Skip the sales order, delivery order, and invoice until they accept.
  • They accepted; deliver later. Quotation is optional, then Sales Order. Skip the invoice until you bill.
  • Goods leave the warehouse. Delivery Order, from a sales order or new.
  • Credit sale (pay later). Sales Invoice, from a quotation, sales order, delivery order, or new. Skip cash sales.
  • Walk-in, paid now. Cash Sales. Skip invoice plus receipt.
  • Many simple credit bills, no line items. Fast Sales Entry.
  • Customer paid an invoice. Receipt. Skip cash-book Money received.
  • Advance before you bill. Deposit. Skip receipt until you have invoices.
  • Return or overcharge, and they still owe less. Credit Note. Skip refund.
  • Extra charge after the invoice. Debit Note. A new invoice is only if you prefer a new bill.
  • Money back after they paid. Refund.

Copy and Transfer

  • Copy: one or more documents, even from different customers. The source stays as it was. Destinations include Quote, Sales Order, Delivery Order, Sales Invoice, Cash Sales, and purchase types.
  • Transfer: one or more documents for the same customer. The source status becomes Transfer. Destinations: Sales Order, Delivery Order, Sales Invoice, Cash Sales.

What each document does to the books

  • Quotation. No customer balance, no bank, no stock.
  • Sales Order. No customer balance, no bank, no stock.
  • Delivery Order. No customer balance, no bank. Stock quantity out (Premium, if the line has an item).
  • Sales Invoice. They owe you. No bank. Stock quantity out.
  • Cash Sales. No outstanding. Money in (Received In). Stock quantity out.
  • Receipt. Reduces what they owe. Money in. No stock.
  • Deposit. Advance held. Money in. No stock.
  • Debit Note. They owe more. No bank. Stock quantity out if the lines have items.
  • Credit Note. They owe less. No bank. Stock quantity in if items are returned.
  • Refund. Reduces the balance after payment. Money out. No stock.
  • Bank money that is not collecting a customer invoice is Bank → cash-book receipt, not Sales → Receipt.

Shared listing actions

  • On Quotation, Sales Order, Delivery Order, Sales Invoice, and Cash Sales listings.
  • Filter Customer, Start Date, End Date, status, and Project. Click the magnifying glass (Search, F9).
  • New (file-plus, or F2 / ESC on some listings) opens a blank document.
  • Double-click a row, or Edit, to open it.
  • Tick rows, then the dust-bin or the Delete key, to delete.
  • PDF icon: listing print, or print selected documents. Sales Invoice and Cash Sales also print by date range or Bill Number range.
  • Save As New on an open document: Next No. as the new number, or the light-red save for a manual Bill No.
  • Envelope: email the document. The customer must have an email on Maintain Customer.
  • Default listing for quotation, sales order, and delivery order: pending (not transferred, not cancelled), newest date first.

If something goes wrong

  • Not sure invoice vs cash sale. Still owing: Sales Invoice. Paid now: Cash Sales.
  • Receipt will not find the bill. You used Cash Sales (nothing outstanding), or the invoice is already knocked off.
  • Transfer does nothing useful. Select rows first. Transfer needs the same customer on all selected rows.
  • Stock did not move on a quote. Expected. Stock moves on delivery order, sales invoice, cash sales, debit note, and credit note (return).
