Payroll and hire purchase

Purpose

  • Post staff salaries and hire-purchase asset buys as journals. KinraSoft has no payroll module and no separate hire-purchase contract screen.
  • The Assistant walks a journal template, confirms accounts, and asks before posting.
  • Pay net wages and statutory amounts later from the bank, with a payment or a cash-book payment.
  • Buy equipment paid by cash or bank (not hire purchase) with Fixed asset purchase.
  • Assistant: AI Agents → Purchases & money out.
  • Manual journal: General Ledger → Journal Entry.
  • After hire purchase, the asset also sits under General Ledger → Fixed Assets Management (register and depreciation).
  • Do not type “how to record payroll” if you want the wizard. Use Record payroll.

Assistant chips

  • Record payroll, or Record payroll for staff salaries — payroll journal (gross, EPF, SOCSO, EIS, PCB, net wages payable).
  • Hire purchase, or Buy a car on hire purchase — motor vehicle hire purchase (asset, deposits, dealer, hire-purchase creditor).
  • Fixed asset purchase is a related chip for equipment paid by cash or bank. It is not hire purchase.

Before you start

  • The chart of accounts has salary expense, EPF, SOCSO, EIS, and PCB payables, and wages payable.
  • For hire purchase: motor vehicle (fixed asset), insurance and road tax expense, deposits or prepayments, dealer payable, and Hire Purchase Payable.
  • Deposits already paid to the dealer should already be on the books if you will apply them on the hire-purchase journal.
  • Date on or after conversion for new work.
  • You have the figures from the payroll report or the hire-purchase agreement. KinraSoft does not calculate EPF tables or hire-purchase interest schedules.

Payroll (Assistant)

  • Record payroll for staff salaries.
  • Enter date, reference, and description.
  • Enter the amounts the wizard asks for: employer EPF, SOCSO, and EIS (expense; matching payables copy automatically); employee gross salary; employee EPF, SOCSO, EIS, and PCB / MTD.
  • Read the proposed lines. Net wages payable is the balancing credit: gross minus employee EPF, SOCSO, EIS, and PCB.
  • Tap Explain this entry if you want a plain-language walkthrough.
  • Confirm accounts. Save.
  • HRDF levy, loan recovery, zakat, and CP38 are not in the template. Add them on Journal Entry only when they apply.
  • This journal does not pay anyone. Later, pay net wages with a cash-book payment, or with Payment if wages payable is treated as a creditor. Pay EPF, SOCSO, EIS, and PCB with a cash-book payment when you pay the agencies.

Hire purchase (Assistant)

  • Buy a car on hire purchase, or say hire purchase of a vehicle.
  • Enter purchase price, insurance and road tax, booking-fee and down-payment deposits already paid, date, and the dealer or hire-purchase creditor when asked.
  • The template typically debits Motor Vehicle (fixed asset) and insurance or road tax expense, credits deposits or prepayments you already paid, balances the rest to the dealer, then moves that balance to the hire-purchase creditor.
  • Confirm. Save.
  • Finish the asset on Fixed Assets Management if you maintain the register (cost, start date, depreciation). Run depreciation from that screen, not from this journal.
  • Prefer this hire-purchase journal when the vehicle is on hire purchase. Cash or bank-only asset buys use Fixed asset purchase.

Screen — Journal Entry

  • General Ledger → Journal Entry → New.
  • Enter the same debit and credit lines if you are not using chat.
  • Save.
  • Do not also run the Assistant template for the same month’s payroll or hire purchase.

What this covers

  • A journal from your payroll figures. It is not a statutory payroll product: no EA form, no PCB calculator, and no employee master.
  • A journal from the hire-purchase agreement. Monthly instalments are later payments, cash-book entries, or journals as your accountant specifies. There is no interest or instalment scheduler.
  • The car stays off Purchase Invoice, which would put the whole cost on accounts payable as a normal bill.
  • Gross salary stays off Record an expense, which would skip EPF, SOCSO, and PCB payables.

If something goes wrong

  • Chat opened Fixed asset purchase. You described a cash or bank buy. Say hire purchase if it is hire purchase.
  • Net wages look wrong. Check employee EPF, SOCSO, EIS, and PCB. Net is gross minus those four.
  • Bank fell when you saved payroll. You also posted a payment. The payroll journal should only create payables.
  • Deposits still sitting after hire purchase. Credit the deposit accounts on the hire-purchase journal. The template asks for booking fee and down payment.
  • No payroll menu. Expected. Use this Assistant chip, or Journal Entry.
  • Need HRDF or extra deductions. Add lines on Journal Entry. The template does not include them.
