Scan from chat

Purpose

  • Turn a photo or PDF of a receipt into an Expenses document from AI Agents, then open that document and check it.
  • The full scan listing (change type, expenses setting, many files) is Scan receipt or invoice.

Menu path

  • Assistant: AI Agents, then Purchases & money out, then Scan receipt.
  • Screen: side menu Scan Receipt/Invoice. Needs file upload permission.

Assistant

  • Tap Scan receipt, or type Scan receipt and press Enter.
  • That exact phrase opens the upload panel in the chat. How to scan a receipt does not. It searches the manual. See Ask how-to vs do it for me.

Before you start

  • You are in the company that should own the expense. See Screen vs KinraSoft Assistant.
  • The paper is a cost you already paid (petrol, parking, a small slip). A supplier tax invoice you still owe is a Purchase invoice, not this default.
  • On a phone, allow the camera if the browser asks.

Phone

  • AI Agents, then Purchases & money out, then Scan receipt.
  • Read Open Camera. Tap Open Camera and snap the receipt.
  • Click Upload.
  • Wait for OCR Processing. Leave the tab open.
  • When it finishes, KinraSoft opens the Expenses document and says it was created from receipt.
  • Check supplier or payee, date, amount, and Account. Save if you change anything. See Expenses.

Desktop

  • Scan receipt.
  • Browse, or drag the file onto Drag and drop files to upload.
  • Accepted files: JPG, JPEG, PNG, PDF. Each file up to 10 MB.
  • Click Upload.
  • Wait for OCR. Review the Expenses document that opens.
  • One Upload creates one Expenses document, from the first file that uploads. Scan one receipt at a time.
  • Upload creates the expense. It does not show a second confirm form in chat. Read the opened Expenses screen before you leave it. Cancel before Upload stores nothing.

If the paper is a supplier bill

  • Do not leave it only as an expense if you still owe the supplier.
  • On Scan Receipt/Invoice, select the attachment, then Change Document Type, then Purchase Invoice, then Save. See Scan receipt or invoice.
  • Or delete the expense and start Supplier bill. See Purchase invoice.
  • Reclassify on that listing offers Expenses and Purchase Invoice.

Camera, file, and result

  • Phone: Open Camera. A camera photo. Chat creates Expenses. Then Open Document and check the form.
  • Desktop: Browse or drag and drop. JPG, JPEG, PNG, or PDF. Chat creates Expenses. Then open the document and check the form.
  • The message box cannot take the photo. Only the Scan receipt panel can. See How to ask.
  • Expenses Setting (cog on the scan screen) can fill Account for a vendor you have mapped. See Scan receipt or invoice. Chat uses the same upload control; the setting is saved on that screen.

If something goes wrong

  • Chat explained how to scan and showed no Upload. Type Scan receipt or tap the chip. How to scan stays on the manual.
  • Open Camera does nothing. Allow the camera in the browser, or Browse a photo you already took.
  • OCR amounts or the vendor are wrong. Edit the opened Expenses document and Save. Snap a clearer photo and scan again if the image is unreadable. Delete the bad expense so you do not keep both.
  • Several receipts became one expense. Expected. Scan one file per Upload.
  • Posted as Expenses but you still owe the supplier. Change Document Type to Purchase Invoice, or reverse the expense and raise a purchase invoice. See Scan receipt or invoice.
  • Upload error or OCR failed. Read the error toast. Check the file type and the 10 MB limit, then upload again. Cancel and start Scan receipt if the panel disappeared.
  • Posted into the wrong company. Switch Company. Void or delete using the Expenses procedure.
