Terms, agents, and areas
Purpose
- Set up the small lists that customers (and some sales documents) require: credit terms (how many days until payment), sales agents, and sales areas.
- Create these before Maintain Customer if the customer screen marks them as required.
- Under Account Setup: Maintain Terms, Maintain Agents, and Maintain Area. Each opens a listing, then New.
- Terms are also created with a new company.
- There is no live wizard. Ask “how to maintain terms” (or agents, or areas). Customer create in chat may not set term, agent, or area — finish those on Maintain Customer.
Before you start
- You are in the correct company.
Terms
- Account Setup → Maintain Terms.
- New Terms, or open a row.
- Set Active, Term (the code), Description, and Days (credit days).
- Click Save.
- On the listing, open a row to edit. Use the listing toolbar to print.
Agents
- Account Setup → Maintain Agents.
- New Agent.
- Set Active, Code, and Description. Click Save.
Areas
- Account Setup → Maintain Area.
- New Area.
- Set Active, Code, and Description. Click Save.
- Untick Active to hide a code from new documents without deleting history.
Where they are used
- Terms: customer (and often supplier) credit term, due dates, and aging.
- Agent: customer Agent, and sales analysis.
- Area: customer Area, and sales analysis.
If something goes wrong
- Customer save blocked on Term, Agent, or Area. Create at least one active code here, then pick it on the customer.
- An old term still prints. The customer still points at it. Edit the customer, or keep the term Active.
