Bank statement

Purpose

  • Import the bank’s statement into KinraSoft, keep a listing of those files, and start reconciliation.
  • Import does not post cash-book vouchers. It loads statement lines so you can match them to the books.
  • Screen: Bank → Bank Statement. Also from Bank Reconciliation: Imported Bank Statement Listing.

Assistant

  • No import wizard in chat. Ask “how to import a bank statement”.
  • To match after import: use Run Bank Reconciliation with AI Agent (gear) on this listing, or match by hand on Bank Reconciliation.
  • The matching grid is a screen job. Do not type “how to reconcile the bank” if you meant to click the gear. That how-to opens this guide.

Before you start

  • The Bank Account on the chart of accounts exists.
  • You have the statement file from internet banking.
  • PDF import currently reads Maybank and Hong Leong. Other banks: send the format to KinraSoft support to add, or use a supported export if the import window offers one.
  • Do not import a statement whose date is earlier than one already imported for that bank.

Import a PDF statement

  • Bank → Bank Statement.
  • Click Import Bank Statement (file-import).
  • Choose the PDF from your computer.
  • Select the Bank Account.
  • Click Upload.
  • The file appears on the listing: Date, Bank Code, Bank Name, File Name, Recon Done, Create Date.
  • KinraSoft detects Maybank or Hong Leong from the PDF text. After a successful import it can auto-match lines where the cheque number and the amount are the same on the books and on the statement. Unmatched lines stay for you, or for the AI Agent, to finish.
  • Key Reference / Cheque No as digits only on cash-book and customer or supplier vouchers so auto-match can succeed. See Cash book payment and receipt.

Search the listing

  • Optional Bank Account, Start Date, End Date.
  • Click Search.
  • Recon Done ticked means that file’s reconciliation was completed.

Run Bank Reconciliation with AI Agent

  • Select one statement whose Recon Done box is not ticked.
  • Click Run Bank Reconciliation with AI Agent (gear).
  • KinraSoft matches statement lines to book lines. Review on Bank Reconciliation and Save if the screen still requires it.
  • Anything still unmatched: finish manually on Bank Reconciliation.

Delete a statement

  • Select the row.
  • Click Delete Bank Statement (dust bin).
  • Confirm. Deleting unmatches all related accounting records for that import.
  • Delete only if the import was wrong or you must re-import. You will need to reconcile those lines again.

Open reconciliation or the report

  • Bank Reconciliation (tasks icon) opens the match grid.
  • Bank Recon Report is the printable recon for a date and bank.

What import does

  • It stores statement lines for this bank.
  • It enables auto, AI, and manual matching.
  • It rejects a statement older than one already imported for that bank.
  • It does not create cash-book payments or receipts.
  • It does not change the general ledger by itself.
  • It does not read every Malaysian bank PDF until KinraSoft adds that format.

If something goes wrong

  • Upload rejected, or the bank was not detected. Use a Maybank or Hong Leong PDF, or contact support with another bank’s format.
  • “Earlier than already imported.” You already loaded a later statement. Do not import older files for that bank.
  • The gear does nothing. Select a row with Recon Done unchecked. One statement at a time.
  • Recon Done stays off. Unmatched lines remain. Open Bank Reconciliation, finish, then Save.
  • Deleted by mistake. Re-import the same PDF, then reconcile again.
  • Lines are on the statement and nothing is in the books. Post the missing payment or receipt first, then match. Use cash book, customer receipt, or supplier payment.
