Cash book listing

Purpose

  • Find, open, print, and delete money that already moved through a bank or cash account. This listing is the home for cash-book payments and receipts.
  • You can also filter it to customer receipts, supplier payments, and expense payments that used the same bank.
  • It does not create the document. Use New Payment or New Receipt, or the matching Sales, Purchase, or general ledger screens.
  • Screen: Bank → Cash Book Listing. Payment and Receipt under Bank open a new cash-book document. The list icon on those forms returns here.

Assistant

  • No listing wizard. Ask “how to find a cash book payment” or “how to print cash book listing”.
  • To post money: Money received, or Record an expense. Customer collections and supplier bills stay Customer receipt and Supplier payment.

Before you start

  • Bank or cash accounts exist on the chart of accounts.
  • Documents you want to find are saved.
  • For e-Invoice actions, the company is set up for MyInvois.

Search the listing

  • Bank → Cash Book Listing.
  • Set filters, then click Search (magnifying glass) or F9.
  • Double-click a row to open the voucher.
  • Document: All; Cash Book Payment and Receipt; Cash Book Receipt (OR); Cash Book Payment (PV); Customer Receipt (PM); Supplier Payment (SP); Expenses Payment (JPV).
  • Start Date and End Date: document date range.
  • E Invoice Status: All, Self-Billed, Valid, Invalid, Cancelled, or Submitted.
  • Bank: one bank or cash account.
  • Pay To: payee (supplier search).
  • Project: one project.
  • Keyword search in the table finds voucher number and description.

New document from the listing

  • New Receipt (green receipt) opens a cash-book receipt.
  • New Payment (red dollar) opens a cash-book payment.
  • Edit opens the selected row.
  • Delete removes one selected document.
  • Bulk Delete removes a range. Confirm the modal.

Print, export, and import

  • PDF menu → Print Cash Book Listing for the filtered list.
  • Bulk Voucher Printing prints many payment and receipt vouchers (A4, A5, including computer-generated). Choose Cash Book Receipt & Payment, Cash Book Receipt, or Cash Book Payment.
  • Export To Excel downloads the listing.
  • Import Payment / Receipt (file-import icon) uploads a CSV of cash-book rows. Use the download sample in the import window. Wrong columns will fail. Fix the file and import again.

e-Invoice (self-billed cash book)

  • From the listing you can Submit E Invoice, Submit Self-Billed E Invoice, Cancel E Invoice, and Refresh E-Invoice Status.
  • Ordinary cash-book receipts are not sales e-invoices.

Columns you will see

  • Voucher No, Date, Posting Date, Description, Description 2, Proj/Dept, Bank Account, Reference, Doc Amt, Self-Billed, Status.
  • Tick rows for bulk print, bulk delete, or e-Invoice submit.

What belongs here

  • Rent, petrol, or other money out with no supplier bill. Cash-book Payment. It then appears here.
  • Loan, director money, or other income into the bank. Cash-book Receipt.
  • Customer paid an invoice. Sales → Receipt. Filter Customer Receipt here to find it.
  • Paid a supplier invoice. Purchase → Payment. Filter Supplier Payment here.
  • Match the bank statement. Bank reconciliation, not this listing.

If something goes wrong

  • Listing empty after Search. Widen dates. Clear Bank and Pay To. Set Document to All.
  • Cannot find a customer collection. It is a Sales Receipt, not a cash-book receipt. Filter Customer Receipt, or open Sales → Receipt.
  • Cannot find rent paid from the bank. It should be cash-book Payment, or Assistant Record an expense. Filter Cash Book Payment.
  • Delete refused. e-Invoice Valid, period locked, or no row selected.
  • Import failed. Use the CSV sample. Bank codes and dates must match this company.
