Depreciation journal

Purpose

  • Run monthly depreciation for every asset on the register, review the journals KinraSoft created, roll back if the run was wrong, and print the Depreciation Report (cost, depreciation, net book value).
  • Routine monthly depreciation is this screen. Register the asset first on Fixed asset setup. A hand-keyed Journal Entry is for a one-off adjustment.
  • Screen: General Ledger → Fixed Assets Management → Depreciation Journal. The report is Depreciation Report.

Assistant

  • No run-depreciation wizard. Ask “how to run depreciation” or “how to roll back depreciation”.
  • Month-end close reminds you to depreciate. You still run it on this screen.
  • Fixed asset purchase and Hire purchase do not post monthly depreciation.

Before you start

  • Asset types and assets are saved, with method, rate or effective life, purchase price, and Depreciation Start Date. See Fixed asset setup.
  • The expense and accumulated-depreciation accounts on the asset type are valid on the chart of accounts.
  • You know the to date for this run, usually month-end.

Search Depreciation Journal

  • General Ledger → Fixed Assets Management → Depreciation Journal.
  • Last Depreciation (read-only) shows the last run date.
  • Optional Fixed Asset, Start Date, End Date. Click Search (F9).
  • The list includes journal entries for fixed asset adjustment, journal entries for depreciation adjustment, and auto depreciation generated by Run Depreciation.
  • Edit opens the selected journal. Print PDF and Export To Excel cover the listing. Guide (question mark) opens the in-app help.

Run Depreciation

  • Click Run Depreciation (gear).
  • Set Start Date and End Date (the to date). Click Run Depreciation.
  • KinraSoft generates monthly depreciation journals for all fixed assets in that range.
  • The start date used for each asset is the depreciation start date, or the first day of the month after last depreciation, whichever is later.
  • Refresh the listing. Check Last Depreciation.
  • Do not run twice for the same months unless you Roll Back first. A second run doubles depreciation expense.

Roll Back Depreciation

  • Click Roll Back Depreciation (undo).
  • Read: All Depreciation after the following date will be roll back.
  • Set Date. Click Roll Back.
  • Journals after that date are reversed or removed. Fix the register if needed, then Run Depreciation again.
  • Use roll back when the rate, start date, or cost was wrong, or you ran too far.

Depreciation Report

  • General Ledger → Fixed Assets Management → Depreciation Report.
  • Optional Fixed Asset, Start Date, End Date, Project. Click Search (F9).
  • Columns: Group, Asset, Proj/Dept, Purchase date, Cost, Opening Value, Purchases, Disposal, Dep Rate(%), Depreciation, Net Book Value.
  • Print PDF or Export To Excel.
  • This report does not post. Run depreciation first if the period’s expense is missing.

What Run Depreciation posts

  • Each generated journal debits the Expense Depreciation Account from the asset type.
  • It credits the Accumulated Depreciation Account from the asset type.
  • You can open a generated row from this listing like any journal.
  • Changing a generated journal by hand is easy to get wrong. Prefer Roll Back, fix the asset, then Run again.

If something goes wrong

  • Run created nothing. The asset is missing Depreciation Start Date, rate or life, or type accounts. Or the start date is after your End Date. Or it is already depreciated through that month — check Last Depreciation.
  • Expense doubled. Two runs for the same months. Roll Back to before the duplicate, then run once.
  • You need to change the rate. Roll Back past the wrong months, edit the asset, then Run again.
  • A disposed asset is still depreciating. Dispose on the register after running depreciation through the disposal month, or roll back and dispose in that order.
  • Report net book value disagrees with the balance sheet. Confirm the run posted. Then open the ledger on accumulated depreciation and the asset account (Financial Report → Ledger Report).
  • No depreciation menu. It is under General Ledger → Fixed Assets Management. The register is Fixed Assets, not Journal Entry.
