General ledger and adjustments
Purpose
- Read this company’s headline numbers, post a balanced journal, repeat a document on a schedule, pay outstanding accruals, and depreciate fixed assets.
- Screen: General Ledger.
- Sales bills, purchase bills, and bank vouchers stay on their own menus. Use this part when the job is the ledger itself.
Topics in this part
- F1 — Dashboard. Sales, purchases, overdue bills, cash in bank, and expenses. It does not post.
- F2 — Journal entry. A balanced double-entry when the job is not a sales bill, purchase bill, or cash-book voucher.
- F3 — Recurring transactions. Save a document so KinraSoft can recreate it on a schedule, or when you click Use Recurring.
- F4 — Accrual listing. Find outstanding accrual-type accounts. Pay accrued expenses from here.
- F5 — Fixed asset setup. Asset types and the register: name, cost, start date, method, and rate.
- F6 — Depreciation journal. Run monthly depreciation, roll it back, and print the depreciation report.

Which screen to use
- See how the company is doing. Dashboard.
- Accrual, prepayment, drawings, dividend, or another ledger-only correction. Journal Entry.
- The same journal, invoice, or cash-book voucher every month. Recurring Transaction.
- See what is still outstanding on an accrual account, or pay accrued expenses. Accrual Listing.
- Name the asset and set how it depreciates. Fixed Assets, after Asset Type.
- Post this month’s depreciation for the whole register. Depreciation Journal.
- Customer still owes you, or paid an invoice. Sales Invoice or Receipt.
- Supplier bill, or you paid one. Purchase Invoice or Payment.
- Money in or out of the bank, with no customer or supplier invoice. Cash book payment or receipt.
- Staff claim accrued now, paid later. Expenses, then Expense Payment.
- Staff salaries, or a vehicle on hire purchase. Payroll and hire purchase, then register the asset if you will depreciate it.
Assistant
- Profit this month, Who owes me, and Can I pay this answer from the books. They do not open the dashboard.
- Record payroll, Hire purchase, and Journal / adjustment post a journal after you confirm the accounts.
- Fixed asset purchase — type it. There is no empty-screen chip. Register the asset afterwards if you will run depreciation.
- There is no wizard for the dashboard, the journal listing, recurring, the accrual listing, asset type, the register, or Run Depreciation. Ask “how to…” for those guides.
- Do not type “how to record payroll” if you want the live payroll wizard. Use the chip Record payroll.
Before you start
- Accounts exist on the chart of accounts, including bank, accrual, and fixed-asset accounts when you need them.
- New work is dated on or after System Conversion Date. See Company.
- Document numbers exist for journals and payments. Leave the number blank for Next No.
