Journal entry
Purpose
- Post a balanced double-entry journal when the job is not a sales bill, purchase bill, or cash-book payment or receipt.
- Typical uses: period-end accruals, prepayments, drawings, depreciation adjustments, payroll, hire purchase, and other general-ledger corrections.
- Payroll and hire-purchase templates are in Payroll and hire purchase. Monthly depreciation for the register is Depreciation Journal. Key a journal here only when you are adjusting one asset.
- Listing: General Ledger → Journal Entry. New form: listing → New Journal Entry (file-plus).
- Every posted line, of every journal type: General Ledger → Journal of Transactions.
Assistant
- On AI Agents, journals live under Purchases & money out, and as a free-typed Journal / adjustment.
- Record payroll, or Record payroll for staff salaries — payroll journal.
- Hire purchase, or Buy a car on hire purchase — hire-purchase journal.
- Fixed asset purchase — type it. There is no empty-screen chip. This buys equipment paid by cash or bank, not hire purchase.
- Journal / adjustment, owner drawings, dividend declared, POS till, or accruals — a guided journal. Confirm the accounts, then Save.
- On a journal you can tap Explain this entry for a plain-language walkthrough.
- Do not type “how to record payroll” if you want the live wizard.
- There is no chat wizard for the journal listing, CSV import, bulk print, or Journal of Transactions. Ask “how to enter a journal” for those screens.
Before you start
- Chart of accounts lines exist for every row. Use accrual, prepaid, or unearned special types when this is a period-end accrual. See Accrual listing.
- Date on or after System Conversion Date for new work. See Company.
- Document numbers exist for journals. Leave Journal No blank for Next No.
- Debits will equal credits, including tax columns, before Save.
Search the listing
- General Ledger → Journal Entry.
- Set filters, then Search (magnifying glass) or F9.
- Double-click a row, or Edit, to open it.
- Document. All; Journal Entry (JE, the default); Fixed Asset (FA); SST Return (SSTP).
- Start Date and End Date. Document date range.
- Status. All, or Cancelled.
- Project. One project. See Department / project.
- Keyword Search. Journal number and description.
Create a journal
- Listing → New Journal Entry.
- Enter Description. Optional: Reference, Project.
- Leave Journal No blank for Next No. Set Date. Optional Posting Date (red) when posting should differ from the document date.
- Optional: Currency and Exchange Rate. See Currency.
- Journal Lines: each row needs G/L Code, then Debit or Credit. Optional: line Description, Dept, Tax.
- Check the totals row. Debit must equal credit. If not, KinraSoft shows Amount do not balance, with the difference.
- Click Save.
- Print from the PDF menu: A4, A5, A4 (Computer Gen), A5 (Computer Gen), A4 (GST).
- Save As New: red uses Next No. as the new journal number. Light-red keeps a manual journal number.
- More…: Column Setting, Create Recurring (F3), Fixed Asset (link this journal to an asset on the register — F5), attachments.
- Collect a customer invoice with Receipt. Pay a supplier invoice with Payment. Rent paid from the bank, with no supplier, is a cash-book Payment or Record an expense.
Listing actions
- Delete removes the selected journal. A locked period, an e-Invoice, or no row selected can refuse it.
- PDF menu → Print Journal Listing for the filtered list.
- Bulk Journal Printing prints many vouchers. Choose the print format on the listing.
- Import Journal (file-import) uploads a CSV. Use the sample in the import window. A journal that does not balance stops the upload.
Journal of Transactions
- General Ledger → Journal of Transactions.
- Optional Journal: Bank, Cash, General, Purchase, or Sales.
- Set Start Date and End Date. Optional From Account, To Account, Project, Keyword Search.
- Click Search (F9).
- Print PDF, Export To Excel, or Export To CSV.
- This report lists posted lines from those journals. It does not create a journal.
Journal or another document
- Customer still owes, or paid an invoice. Sales Invoice or Receipt.
- Supplier bill, or pay a supplier. Purchase Invoice or Payment.
- Money in or out of the bank, with no accounts receivable or payable. Cash book.
- Staff claim accrued now, paid later. Expenses, then Expense Payment.
- Staff salaries, or a hire-purchase asset. Assistant, or this journal. See Payroll and hire purchase.
- Monthly depreciation for the register. Run Depreciation.
- Accrual, prepayment, drawings, or equity. This journal.
- The same journal again next month. Create Recurring. A cash-book spreadsheet is Cash Book Template.
If something goes wrong
- Amount do not balance. Fix Debit, Credit, and tax until the totals match.
- Save refused. The date is before conversion, the period is locked, or a line has an amount and no G/L Code.
- The bank moved when you wanted only an accrual. That was a cash-book payment. An accrual stays on this journal: credit the accrual account.
- Cannot find a depreciation run. Filter Document to Fixed Asset, or open Depreciation Journal.
- Import stopped. Use the CSV sample. Each journal in the file must balance.
- Chat already posted payroll or hire purchase. That is expected for those chips. Do not also key the same month on this screen.
