Sales order

Purpose

  • Record an accepted order before you deliver or bill. A sales order does not post to the customer balance, bank, or stock.
  • Transfer or Copy it to a delivery order, sales invoice, or cash sales when you fulfil it.
  • Screen: Sales → Sales Document → Sales Order. New Sales Order or double-click a row.
  • There is no live sales-order wizard. Ask “how to create a sales order”. Billing is Bill a customer, or convert on the screen.

Before you start

  • The customer exists.
  • Optional: convert from a quotation instead of keying again.
  • Optional: default sales account on Account Setup.

Create from scratch

  • Sales → Sales Document → Sales Order.
  • Click New Sales Order (F2).
  • Select Customer (required). Set Date (required). Leave Bill No. blank for Next No.
  • Fill lines (description, qty, unit price, Account). Optional project, remark, agent.
  • Click Save.

Create from a quotation

  • Quotation Listing → select the quote → Transfer or Copy.
  • Tick Sales Order → Transfer or Create.
  • Edit the order. Save.

Convert onward

  • On Sales Order Listing, select the order (or orders).
  • Transfer or Copy.
  • Tick Delivery Order, Sales Invoice, or Cash Sales.
  • Click Transfer or Create. Edit. Save.
  • Copy can also create another sales order, or a quote, from this order.

Print, email, edit, delete

  • Same pattern as quotation: print format plus PDF, envelope (customer email required), double-click to edit, dust-bin to delete, Save As New for a duplicate with a new number.
  • Listing filters: Customer, dates, Status (All / Pending / Transfer / Cancelled), Project, keyword search (F9).

If something goes wrong

  • Customer still shows nothing owing. Expected until you save a Sales Invoice.
  • Stock did not move. Expected. Stock moves on delivery order, invoice, or cash sales.
  • Cannot transfer mixed customers. Use Copy, or transfer one customer at a time.
