Inventory
Purpose
- Set up the product catalogue, name the warehouses, move quantity when the job is not a sale or a purchase, and read stock reports.
- Screen: Inventory. Locations, Product Documents, and Inventory Report need Premium (or Accountant).
- Selling and buying with an item code stay on Sales and Purchase. Month-end stock value on profit and the balance sheet is Maintain Stock Value.
Topics in this part
- G1 — Categories, products, price categories. The catalogue: category, product, price category, and item type. Masters only. Quantity does not move here.
- G2 — Locations. Warehouses, shops, or stores. Skip this if you never pick a location on a line.
- G3 — Product received, issue, transfer, adjustment. Quantity in, out, between locations, or after a count. Customer, supplier, and bank stay unchanged.
- G4 — Inventory reports. Count sheet, warehouse documents, stock card, month-end quantity, and stock aging. These reports read. They do not post.
Menu path
- Inventory → Maintain Category, Maintain Product, Maintain Price Category, Maintain Item Type, Maintain Location.
- Inventory → Product Document → Product Received, Product Issue, Product Transfer, Product Adjustment.
- Inventory → Inventory Report → Stock Physical WorkSheet, Stock Document, Stock Card, Stock Month End Balance, Stock Aging.
Which screen to use
- Name a product so invoices can pick an item code. Maintain Product, after Maintain Category.
- Different selling prices by customer group. Maintain Price Category, then the customer and Cust.Price on the product.
- See which store holds the goods. Maintain Location, then pick it on the line.
- Goods came in with no supplier bill, or left with no customer invoice. Product Received or Product Issue.
- Move stock from one store to another. Product Transfer.
- The count does not match the book. Stock Physical WorkSheet, then Product Adjustment.
- You bought the goods. Goods Received or Purchase Invoice.
- You sold or delivered them. Delivery Order or Sales Invoice.
- Put a ringgit amount on profit and the balance sheet. Maintain Stock Value.
Assistant
- Add stock and Edit stock item create or update a product. They do not create a location, a received note, or a stock report.
- There is no wizard for category, price category, item type, location, Product Documents, or inventory reports. Ask “how to…” for those guides.
- Do not type “how to add stock” if you want the live wizard. Add stock creates a product, not month-end stock value.
Before you start
- The company plan includes inventory. Premium or Accountant for locations, stock documents, and stock reports. See Company.
- Default sales and purchase accounts exist on Account Setup so a new category can copy them.
- Stock accounts exist if you will value stock on the books. See the chart of accounts and Maintain Stock Value.
