Product received, issue, transfer, adjustment

Purpose

  • Move quantity in the warehouse when the job is not a customer sale or a supplier bill.
  • These Product Documents update stock on Save. Customer balance, supplier balance, and the bank stay unchanged.
  • Use Goods Received or a purchase invoice when you bought the goods. Use a Delivery Order, sales invoice, or cash sales when you sold or delivered them.
  • A Product Document and a sales or purchase document for the same quantity count the stock twice.

Menu path

  • Inventory → Product Document → Product Received. Doc type RC. Needs stkReceived_new.
  • Inventory → Product Document → Product Issue. Doc type IS. Needs stkIssue_new.
  • Inventory → Product Document → Product Transfer. Doc type XF. Needs stkXF_new.
  • Inventory → Product Document → Product Adjustment. Doc type ADJ. Needs stkADJ_new.
  • New form from the listing (file-plus).

Assistant

  • No live Product Document wizard. Ask “how to create a product received”, or issue, transfer, or adjustment.
  • Add stock creates a product master. It does not create a received note.
  • Bill a customer and Supplier bill move stock on the sales or purchase line when it has an item code. That is Sales and Purchase, not this chapter.

Before you start

  • The company is Premium. See Company. Products exist. Locations exist if you use warehouses.
  • Document numbers exist for RC, IS, XF, and ADJ. Leave Received No, Issue No, Transfer No, or Adj No blank to use Next No.
  • Date on or after System Conversion Date for new work. See Financial start period.
  • After a physical count, Copy Data To Stock Adjustment from the physical worksheet instead of keying the adjustment from scratch.

Shared listing actions

  • Optional Project. Tick Date to use Start Date and End Date. Click Search (magnifying glass).
  • New opens a blank document. Double-click or Edit opens the row.
  • Dust-bin Delete reverses that document’s stock movement.

Product Received — quantity in

  • Use this for opening stock you are not billing, production output, found stock, or a transfer-in that is not a supplier goods received note.
  • Inventory → Product Document → Product Received.
  • New Product Received.
  • Description. Optional Project/Dept.
  • Leave Received No blank for Next No. Set Date.
  • Lines: Item, description, Dept, Location, Qty, UOM, Unit Cost. Subtotal calculates.
  • Optional Update Cost — fills unit cost from the item as at the document date (item, location, qty, cost).
  • Click Save. Quantity increases at the location.
  • Print Stock Received or Stock Received (Location).

Product Issue — quantity out

  • Use this for samples, write-off, own use, or goods leaving that you will not invoice.
  • Inventory → Product Document → Product Issue.
  • New Product Issue.
  • Description, optional project, Issue No or Next No, Date.
  • Same line columns as received. Save. Quantity decreases.
  • Print from the PDF menu (issue and location formats).
  • Leave the same item quantity off a Delivery Order or invoice. See Delivery Order.

Product Transfer — from location to location

  • Use this to move stock between warehouses or shops. Company quantity stays the same. Each location’s quantity changes.
  • Inventory → Product Document → Product Transfer.
  • New Product Transfer.
  • Optional Customer if the move is for a customer. Optional currency and rate when shown.
  • Description, optional project, Transfer No or Next No, Date.
  • Lines: Item, description, Project, From Location, To Location, Qty, UOM, Unit Cost. Discount and tax columns appear when shown.
  • From Location and To Location must differ. Save.

Product Adjustment — count against the book

  • Use this after a stock take when book quantity is wrong. Prefer Stock Physical WorkSheet → Copy Data To Stock Adjustment when you counted on that report. See Inventory reports.
  • Inventory → Product Document → Product Adjustment.
  • New Product Adjustment.
  • Description, optional project, Adj No or Next No, Date.
  • Lines: Item, description, Project, Location, Book Qty, Qty On Hand (what you counted), Qty (the difference), UOM, Unit Cost.
  • Save. A positive qty increases stock. A negative qty decreases stock.
  • Update Cost works the same way as on received and issue.

Edit, delete, numbers

  • Leave the document number blank for Next No. See Document numbers.
  • Deleting a saved Product Document reverses its stock movement.
  • A date before conversion, or inside a locked period, can refuse Save.

When to use each document

  • Supplier delivered goods you will pay for. Goods Received and/or Purchase Invoice or Cash Purchase. Leave those units off Product Received.
  • You delivered or invoiced a customer. Delivery Order and/or Sales Invoice or Cash Sales. Leave those units off Product Issue.
  • Customer returned goods on a credit. Credit Note. Leave that return off Product Received.
  • You returned goods to the supplier. Purchase Credit Note. Leave that return off Product Issue.
  • Found, produced, or brought in with no supplier bill. Product Received. Leave those units off a purchase invoice.
  • Samples, write-off, or own use, with no customer invoice. Product Issue. Leave those units off a sales invoice or delivery order.
  • Shop A to Shop B. Product Transfer.
  • The count does not match the book. Product Adjustment, or the worksheet copy.
  • Month-end stock value on profit and the balance sheet. Maintain Stock Value. These documents move quantity.
  • Transfer a goods received note into the purchase invoice so stock moves once. Transfer a delivery order into the invoice so stock moves once. A standalone Product Received plus a goods received note with the same items counts the goods twice.

What each document does

  • Product Received. Quantity in. No customer or supplier. No bank.
  • Product Issue. Quantity out. No customer or supplier. No bank.
  • Product Transfer. Quantity out from one location and in to the other. Optional customer on the header only. No bank.
  • Product Adjustment. Quantity in or out by the difference. No customer, supplier, or bank.
  • Goods Received, Purchase Invoice, and Cash Purchase. Quantity in when the line has an item code. Supplier on the invoice and cash purchase. Bank on cash purchase only.
  • Delivery Order, Sales Invoice, and Cash Sales. Quantity out when the line has an item code. Customer on the invoice. Bank on cash sales only.

If something goes wrong

  • Stock card did not change. The plan has no inventory, the line has no Item Code, or you are looking at the wrong location or date. See Inventory reports.
  • Stock in is doubled. You saved Product Received and a goods received note or purchase invoice for the same qty. Delete one, or transfer the goods received note into the invoice.
  • Stock out is doubled. You saved Product Issue and a delivery order or invoice for the same qty.
  • Transfer will not save. From Location and To Location are the same or empty, or the item has no qty at the from location.
  • Adjustment qty looks wrong. Qty is the difference, not the count. Put the count in Qty On Hand.
  • Product Document is missing from the menu. The role needs stkReceived_new, stkIssue_new, stkXF_new, or stkADJ_new, or the plan is not Premium. See Users and Company.
  • Duplicate document number. Leave it blank for Next No, or pick an unused number.
  • You wanted the supplier to be owed. Use Purchase Invoice.
  • You wanted the customer to owe you. Use Sales Invoice.
