Locations

Purpose

Name the warehouses, shops, or stores where quantity is held.
On Premium, sales deliveries, goods received, and Product Documents move stock at a location.
With no locations you still have one company-wide quantity. With locations you can see where the stock is on the stock card and month-end balance. See Inventory reports.
Skip this chapter if the company has a single store and you never pick a location on document lines.

No location wizard. Ask “how to maintain location” or “how to add a warehouse”.
Add stock creates a product. It does not create locations.
Put opening quantity by location on the Premium product Opn.Bal tab after the location exists. See Categories and products.

The company is Premium or Accountant if you need multi-location stock. See Company.
You know the codes you will type on document lines, for example HQ or SHOP1.
Your role can see Maintain Location.

Inventory → Maintain Location.
Click New Location (file-plus).
Enter Code (short, unique) and Description.
Leave Active ticked.
Optional second description, Address (four lines), Attention, Email, Phone1 and Phone2, Fax1 and Fax2. These print when the location is the ship-from or ship-to store.
Click Save.

On Location Listing, open the row. From the form, the list icon returns you to existing codes.
Change fields. Click Save.

Delivery Order, Sales Invoice, Cash Sales, and sales debit or credit notes. Line location — quantity out. A credit-note return is quantity in.
Goods Received, Purchase Invoice, Cash Purchase, and purchase credit or debit notes. Line location — quantity in. A purchase credit note is quantity out.
Product Received, Product Issue, and Product Adjustment. Line Location. See Product Documents.
Product Transfer. Line From Location and To Location.
Product Opn.Bal. Opening quantity at that warehouse. See Categories and products.
Stock card, physical worksheet, month-end, and aging. Filter by location. See Inventory reports.
Quotation and Sales Order do not move stock, even if you type a location.
If you leave location blank on a line, KinraSoft still saves the document. Quantity may sit with no warehouse split. Create and pick a location when you care which store holds the goods.
Month-end value is company-wide, and optional by project. It is not a location list. See Maintain Stock Value.

Maintain Location is missing from the menu. The role needs location_new, or the plan has no inventory locations. See Company and Users, groups, and roles.
Location typeahead is empty on a document. Create at least one Active location here.
Stock card shows quantity and not by store. Documents were saved without a location. Transfer into the right store, or enter location on new lines.
An old shop still appears. It is still Active, or opening qty and documents still use that code. Inactivate it after you move the remaining qty.
Duplicate code. Choose an unused Code.

Categories and products — opening quantity by location.
Product documents — transfer between locations, and received, issue, or adjustment at one location.

Delivery order and goods received — quantity moves at the line location.
