Inventory reports

Purpose

  • See quantities: what the book says you hold, what moved, what to count, and how old the stock is.
  • These reports read posted sales, purchases, and Product Documents. They do not create invoices or journal stock value.
  • Month-end value on Profit & Loss and the Balance Sheet is still Maintain Stock Value.

Menu path

  • Count sheet: Inventory → Inventory Report → Stock Physical WorkSheet. Needs stkPhyWS.
  • Warehouse documents: Inventory → Inventory Report → Stock Document. Needs stkDocument.
  • Movement (item card): Inventory → Inventory Report → Stock Card. Needs stkCard.
  • Closing qty in a period: Inventory → Inventory Report → Stock Month End Balance. Needs stkMthEndBal.
  • Age of qty on hand: Inventory → Inventory Report → Stock Aging. Needs stkAging.
  • A quick on-hand figure is Bal Qty on Maintain Product.

Assistant

  • No report-builder wizard. Ask “how to print stock card” or “how to do a stock take”.
  • Add stock does not print these reports.

Before you start

  • Products and, if you use them, locations exist.
  • The movements you care about are saved, including product Opn.Bal if you brought quantity in on the master.
  • Know the date of the count or the period you want to review.

Stock Physical WorkSheet

  • Print or export a count list. After you count, you can push differences into a Product Adjustment.
  • Inventory → Inventory Report → Stock Physical WorkSheet.
  • Tick the item flags you want: Stock Control, Non Stock Control, Active Item, Non Active Item, Include Zero Balance.
  • Set Date (as-at). Optional Stock Group (category), Stock Item Type, Stock Item, Location.
  • Click Search (magnifying glass).
  • Print PDF or Export To Excel for the counting team.
  • After you enter counts: Copy Data To Stock Adjustment (copy icon) to open and fill a Product Adjustment. Check Qty On Hand against Book Qty, then Save on the adjustment.

Stock Document

  • One listing of warehouse documents. Sales and purchase bills stay on their own menus.
  • Inventory → Inventory Report → Stock Document.
  • Report: Stock Received Listing, Stock Issue Listing, Stock Transfer Listing, or Stock Adjustment Listing.
  • Set Date from and to. Optional Stock Group, Item Type, Stock Item.
  • Search and run the list.
  • Open (edit icon) a row to the Product Document. Export To Excel.
  • Use the Product Document listings when you want to create a received, issue, transfer, or adjustment.

Stock Card

  • The item’s quantity in, out, and balance. This is the usual check that a save worked.
  • Inventory → Inventory Report → Stock Card.
  • Set Date from and to.
  • Optional Category, Item, Item Type, Location.
  • Tick Active Item (default). Optional Non Active Item. Optional Include Zero Balance.
  • Click Search.
  • Select an item in the upper table. The lower table shows movements for that Stock Item and Location.
  • Edit opens the product or the source document when offered. Print PDF or Export To Excel.
  • Reset Stock Card (cog) rebuilds the card from posted transactions. Confirm the prompt. Use it when the card looks stale or out of line with documents. It is not a daily step.

Stock Month End Balance

  • Quantity, and the cost columns the report shows, as at a period. This is the quantity companion to Maintain Stock Value.
  • Inventory → Inventory Report → Stock Month End Balance.
  • Set Date from and to.
  • Optional Category, Item, Item Type, Location.
  • Search. Print PDF or Export To Excel.
  • Use the figures to support Maintain Stock Value if you value stock from a count. Maintain Stock Value does not fill itself from this report.

Stock Aging

  • How long quantity has been sitting. Use it for slow-moving and obsolete stock.
  • Inventory → Inventory Report → Stock Aging.
  • Set Date from and to. Aging is as at the end date.
  • Optional Category, Item, Item Type, Location, the same pattern as the other stock reports.
  • Search. Print PDF or Export To Excel.
  • This is stock aging. Customer and supplier debt aging is Sales reports and Purchase reports.

What to use when

  • What should we count tonight? Stock Physical WorkSheet.
  • The count differs from the book. Worksheet → Copy Data To Stock Adjustment. See Product Adjustment.
  • Did this goods received, delivery order, or product received post? Stock Card.
  • A list of received, issue, transfer, and adjustment. Stock Document.
  • Quantity at month-end by item or location. Stock Month End Balance.
  • What has not moved? Stock Aging.
  • Ringgit on profit and loss for opening and closing stock. Maintain Stock Value, then Save on opening balance.
  • Who owes us, or who we owe. Sales and purchase aging, not this chapter.
  • Bal Qty on Product Listing is a quick on-hand figure. Use Stock Card when you need the movements that built it.

If something goes wrong

  • The card is empty. Wrong item, location, or date range. Confirm the document saved and the line has an Item Code.
  • Card quantity is twice what you expect. The same goods are on a Product Document and a goods received note, delivery order, or invoice. See Product Documents, Delivery Order, and Goods Received.
  • The worksheet has no rows. Loosen the filters. Try Include Zero Balance or all item types. Confirm products are Active.
  • Copy to adjustment did nothing. Run the worksheet first so there is data, then use the copy icon. Finish Save on Product Adjustment.
  • Month-end quantity and Maintain Stock Value differ. This report is quantity. Type the cost value on Maintain Stock Value.
  • Inventory Report is missing from the menu. The role needs stkPhyWS, stkDocument, stkCard, stkMthEndBal, or stkAging. See Users. The plan may not be Premium. See Company.
  • Reset Stock Card looks risky. It rebuilds from documents. Post or delete the document when a save is missing. Reset does not invent a missing document.
  • Aging looks like customer debt. You opened sales Aging. Stock aging is under Inventory Report.
