Accrual listing

Purpose

  • Find outstanding amounts on accrual-type ledger accounts: expenses not yet paid, income not yet billed, prepayments, and unearned revenue.
  • Pay accrued expenses from this listing.
  • The listing does not create the original accrual. Post that as a Journal Entry or a general-ledger Expense.
  • Screen: General Ledger → Accrual Listing.

Assistant

  • No accrual-listing wizard. Ask “how to pay accrued expenses” or “how to use accrual listing”.
  • To post a period-end accrual, use Journal / adjustment in chat, or Journal Entry.
  • Month-end checklist: Month-end close in chat. You still post the accrual on the journal or Expenses screen.
  • A staff claim that you accrue and pay later stays on Expenses, not this listing.

Before you start

  • Accrual accounts exist on the chart of accounts with the matching Special Account Type (table below).
  • The accrual journal or general-ledger Expense is saved, or there is nothing to list.
  • To pay accrued expenses: a bank or cash account, and payment document numbers.

Search outstanding accruals

  • General Ledger → Accrual Listing.
  • Choose Accrual Type. The default is ACCRUED EXPENSE.
  • Optional: Accrual Account, Start Date, End Date, Outstanding, Project.
  • Click Search (F9).
  • Double-click a row, or Edit, to open the source journal.
  • ACCRUED EXPENSE (Expenses Not Yet Paid). A liability: the cost is incurred and not paid. The Payment toolbar is shown.
  • ACCRUED REVENUE (Income Not Yet Billed). An asset: income is earned and the invoice is not yet raised.
  • PREPAID EXPENSE (Deposit/Prepayment Paid). An asset: you paid, and the cost is not yet consumed.
  • UNEARNED REVENUE (Deposit/Prepayment Received). A liability: money is in, and it is not yet earned.
  • Outstanding All. Every matching line.
  • Outstanding greater than zero. Still outstanding.
  • Outstanding equal to zero. Fully cleared.
  • Columns include Date, Account Code, Journal No, Description, Reference, Proj/Dept, Currency, Amount, Outstanding.
  • Click a row to load Payment History for that journal in the table below.

Pay accrued expenses

  • Set Accrual Type to ACCRUED EXPENSE. The Payment for Accrued Expenses icon (red dollar) appears.
  • Tick one or more rows. All ticks must be the same Account Code.
  • Click Payment for Accrued Expenses.
  • In the window: Date, leave Voucher No blank for Next No., Payment By (bank or cash), Pay Amount (filled from the ticks). Optional: Pay To, Pay For, Reference / Cheque No, Reference 2.
  • Click SAVE. Money leaves the bank. Outstanding on those lines falls.
  • Check Cash Book Listing for the payment voucher.
  • Payment from this listing is only for Accrued Expense. For the other three types, reverse or transfer with a Journal Entry as your accountant specifies. There is no pay button.

Post the original accrual

  • Journal Entry: debit the expense (or the matching profit-and-loss or asset line) and credit the Accrued Expense special account. Reverse the sides for accrued revenue, prepaid, or unearned, as the case requires.
  • Or general-ledger Expense: lines debit expenses, and the total credits Default Accrual Account. Pay later with Expense Payment. If that account is Accrued Expense, the balance can appear here.
  • Do not post the same amount as both a journal accrual and a general-ledger Expense.

Special account types

  • On Maintain Chart Of Account, tick the matching Special Account Type when you create the account. Lines posted to those accounts are what this listing can find.
  • Accrued Expense (Expenses Not Yet Paid). Current Liability.
  • Accrued Revenue (Income Not Yet Billed). Current Asset.
  • Prepaid Expense (Prepayment to Supplier). Current Asset.
  • UnEarned Revenue (Prepayment from Customer). Current Liability.

Listing, expense, or journal

  • Accrual Listing. Does not create the accrual. Pays accrued expense. The bank moves when you save that payment.
  • General-ledger Expense. Creates the accrual and credits the default accrual account. Pay with Expense Payment, which moves the bank.
  • Journal Entry. Creates the accrual. You pick both sides. The bank moves only if a line is bank or cash.

If something goes wrong

  • Listing empty. Widen the dates. Set Outstanding to All. Confirm the chart special type, and confirm the journal used that account.
  • Only allow to select same Account Code. Untick rows on other accounts. Pay one code at a time.
  • Please select Accrual Transaction. Tick rows before Payment.
  • No Payment icon. Set Accrual Type to ACCRUED EXPENSE.
  • The bank did not move after the journal. That is expected. Pay from this listing, or with a cash-book payment that clears the accrual.
  • The accrual is on the profit and loss twice. You posted both a journal and a general-ledger Expense or purchase for the same cost. Reverse one.
