Profit and loss
Purpose
- Print or review profit or loss for a period: sales, cost, and expenses, with optional comparison columns.
- The menu name is Profit & Loss. The screen title is Income Statement.
- It reads posted transactions and stock value. It does not post them.

- No profit-and-loss report wizard. Ask “how to print profit and loss” for this chapter.
- For a short answer from the books, say Profit this month. That chat answer is Ask the books. It is not this printable report.
Before you start
- Financial start period and conversion date are set.
- Sales, purchases, expenses, and journals you care about are saved.
- Month-end stock value is entered if you want opening and closing stock in the profit figure.
- Optional Project exists.
Print profit and loss
- Financial Report → Profit & Loss.
- Choose Report Period:
- This Month vs Last Month - This Year vs Last Year — four columns: this month, last month, year to date, last year.
- This Month vs Last Year This Month — this month against the same month last year.
- This Month vs This Year — month and year to date.
- This Year vs Last Year — this year against last year.
- This Year — this year only.
- Comparison - Monthly — twelve month columns.
- Comparison - Quarterly — four quarter columns.
- Fixed Date — your own Start Date and End Date.
- Set Date (as-at). For Fixed Date, set Start Date and End Date as well.
- Optional Financial Year — tick it to pick a closed year from Financial Year instead of a calendar date. See Year-end closing.
- Optional Include Zero Balance Account.
- Optional Project. Clear with × for the whole company.
- Click Search.
- Expand All Sub Account / Collapse All Sub Account.
- Click an amount on an account that has no sub-accounts. KinraSoft opens Ledger Report for that column’s dates. Click the amount, not the description. If you click the description, the message is Please click on the amount to drill down.
- Print PDF or the Excel icon: Main Account Only or Includes Sub Account.
- Profit on this report includes stock movement from Maintain Stock Value. A chat Profit this month answer uses the same idea and can still change after you post stock, accruals, or depreciation.
How to read it
- Income (sales and other income) minus cost and expenses is the profit or loss for the column.
- A parent row is the total of its sub-accounts. Expand it to see the children.
- Project limits every column to that department or project.
- Zero accounts stay hidden until you tick Include Zero Balance Account.
- This report does not close the year or move profit into retained earnings. Year-end processing does that. See Year-end closing.
If something goes wrong
- Please click on the amount to drill down. Click the figure, not the account name.
- Gross profit ignores stock. Enter closing (and opening) stock for the month on Maintain Stock Value, then Search again.
- A closed year is missing from the list. Tick Financial Year only after that year is closed. See Year-end closing.
- Profit in chat and on this report differ. Chat is a quick period total. Match Report Period, Date, and Project on this screen, and finish month-end stock and journals first. See Ask the books.
- Nothing for a project. Clear Project and run again. If the company total appears, the project code on the documents is different. See Department / project.
