Ask the books
Purpose
- Get a short answer from this company’s saved transactions: who still owes you, whether you made a profit, and whether cash covers a bill.
- Chat reads the books. It does not print the financial statements and it does not post a receipt or a payment.
Assistant
- Say the question in everyday words. These phrases start a live answer (not a how-to):
- Who owes me, who still owes, outstanding customers, aged receivables — customer balances still unpaid, as of today.
- Profit this month, how much did I earn, am I profitable — profit or loss for this month so far.
- Profit last month — last calendar month.
- Profit this year / year to date — from 1 January (or financial start, if that is later) to today.
- Can I pay this, can I afford, how much cash, cash on hand — bank and cash total. Add an amount (RM 5,000) to test one bill.
- Add a customer name after who owes me when you want one customer. Add a supplier name on can I pay when you want that supplier’s unpaid total called out.
- How to print profit and loss, generate P&L, and balance sheet report stay on the report screens. See Profit and loss and Balance sheet.
- Transfer profit to capital is a journal, not this answer.
Before you start
- You are signed in to the company you mean. Chat uses that company only. See Screen vs KinraSoft Assistant.
- Financial start period and conversion date are set, or profit answers will ask you to set them.
- Invoices, bills, and cash-book lines you care about are saved.
Who owes me
- Open AI Agents.
- Say Who owes me.
- Read the reply: Who owes you as of today’s date; the total still outstanding, and how much of it is older than this month; up to the largest customer balances.
- If everyone is paid: Nobody owes you right now.
- To collect, say Receive payment from a customer. That is a new wizard. This answer does not record the receipt. See Customer receipt and knock-off.
- The printable list is Sales Report → aging or Statement of Account. See Sales reports.
Profit this month
- Say Profit this month (or last month, or this year).
- Read profit or loss, then Sales, Cost of goods, and Expenses.
- Read the comparison with the previous period (last month, the month before that, or the same stretch last year).
- The reply says it is from posted transactions and that month-end stock or adjustments can still change the figure. After you save stock value, accruals, or depreciation, ask again.
- The statement you sign or send is Profit & Loss.
Can I pay this
- Say Can I pay this or how much cash.
- If you did not give an amount, chat shows Cash on hand (each bank and cash account when there is more than one) and asks for the bill amount, for example RM 5,000.
- Send the amount.
- Read the answer: Yes — from the books, cash on hand covers this, and what would be left, plus the total you still owe suppliers. Or Not from cash on hand, and how much you would be short, plus unpaid supplier bills.
- A supplier name in the question can list that supplier’s balance. To record the payment, use Supplier payment or the cash book. This answer does not pay the bill.
- Cash is the chart’s bank and cash balances, the same family of accounts as Money in bank on the dashboard. It is not the bank’s own internet-banking balance until you have reconciled.
Question or report
- A number while you are talking — this chapter.
- A PDF, Excel file, or drill-down — ledger through group report, plus sales reports and purchase reports.
- A document posted — the matching wizard (receipt, payment, journal).
- A tutorial — start with how to… so chat searches the manual.
- Enter sends the message. Shift+Enter adds a line. Cancel on a later wizard does not undo the answer you already received.
If something goes wrong
- Chat explains how to print a report. You asked a how to question. Ask Profit this month or Who owes me with no “how to”.
- Please set up your financial start period and conversion date. Save both dates, then ask again. See Financial start period.
- Profit looks too high or too low. Post stock and month-end journals, then ask again. See Month-end close. For the formal layout, open Profit & Loss.
- I could not find a bank or cash account. Mark the bank and cash accounts on the chart of accounts.
- Cash says yes, but the bank account is short. Reconcile. The answer uses the books, including items not yet on the statement.
- The wrong company’s figures. Switch Company, then ask again.
