Ledger report
Purpose
- See every posting on an account, customer, or supplier between two dates, then open the source document.
- The ledger reads saved transactions. It does not post them.
Menu path
- Financial Report → Ledger Report. The page title is General Ledger / Ledger Report.
Assistant
- No ledger-builder wizard. Ask “how to print the ledger” for this chapter.
- Live books questions (Who owes me, Profit this month) are Ask the books, not this screen.
Run the ledger
- Financial Report → Ledger Report.
- Choose the ledger:
- General Ledger — chart accounts. Set From Account and To Account (one side is enough; both set a range).
- Sales Ledger — one Customer (required).
- Purchase Ledger — one Supplier (required).
- All Ledger — every account in the date range. Leave the account fields blank.
- Set Start Date and End Date (dd/mm/yyyy). Start must be on or before end.
- Optional Project. Clear it with × to include every project.
- Optional Show Month To Date Total.
- Click Search (magnifying glass, or F9).
- Expand All Sub Account / Collapse All Sub Account to open or close parent accounts.
- Click a transaction row to open the source document (invoice, cash book, journal, and so on).
- Print PDF: Format A3, Format A4, or Summary. Export: Excel 97, Excel 2007, or Summary.
- A blank result means nothing posted in that range for that account, customer, supplier, or project. Widen the dates or clear the project before treating the account as unused.
What the lines mean
- Opening / brought forward — balance before Start Date (from opening balance and earlier postings).
- Each row — one saved debit or credit, with the document that created it.
- Running balance — balance after that row.
- Month-to-date total — shown when Show Month To Date Total is ticked.
- Debtor and creditor control accounts stay empty here until past invoices are saved and opening balance is generated. The customer and supplier lines live on Sales Ledger and Purchase Ledger. See opening balance and customer and supplier opening balances.
If something goes wrong
- The Start Date is later than the End Date. Put start on or before end, then Search again.
- Sales or Purchase ledger will not run. Pick a Customer or Supplier. The field is required.
- Clicking a row does nothing. Select a transaction row, not a heading or total.
- Control account is zero. Generate opening balance after past invoices. Use Sales Ledger or Purchase Ledger for the parties. See opening balance.
- Figures stop at an old date. A locked month or closed year blocks new postings. The ledger only shows what was saved. See Month-end close and Year-end closing.
