Purchase reports
Purpose
- See who you owe, what is due, how old the debt is, the statement to send the supplier, and past buying prices.
- These reports read posted purchase documents and knock-off. They do not create bills.
- Screen: Purchase → Purchase Report.

- There is no report-builder wizard. Ask “can I pay this” for a live books answer. Ask “how to print supplier aging” or “how to print supplier statement of account” for this chapter.
Menu
- Purchase Price History — past prices.
- Balance Report — movement and closing balance.
- Due Document — unpaid and due bills.
- Aging Report — age of debt.
- Statement Of Account — supplier statement.
Before you start
- Invoices and payments you care about are saved, and knocked off where paid.
- For one-supplier reports, know the supplier code or start typing the name.
Purchase Price History
- Purchase → Purchase Report → Purchase Price History.
- Set supplier, item or product, date range, and document types as shown (invoice, cash purchase, goods received). Click search.
- Use it to see what you paid before you raise the next purchase order or invoice.
- Print or Export To Excel from the toolbar.
Balance Report
- Purchase → Purchase Report → Balance Report.
- Optional Supplier. Set Start Date and End Date.
- Run or search. Print PDF or Export To Excel.
- Opening, period movement, and closing should match invoices, credit notes, payments, and knock-off in that range.
Due Document
- Purchase → Purchase Report → Due Document.
- Set Supplier (or leave all), Date, and the due options on the screen (document types and include flags as listed).
- Search. Lists documents still due. Use it to plan payments.
- Print or export from the toolbar.
Aging Report
- Purchase → Purchase Report → Aging Report.
- Optional Supplier. Set Aging Date.
- Aging On: Document Date or Due Date. Due date uses credit Terms.
- Optional Include Zero.
- Search.
- Print or Excel: Aging Summary, or Aging detail (6 Months).
Statement Of Account
- Purchase → Purchase Report → Statement Of Account.
- Select Supplier (required to send a statement). Set dates as on the screen.
- Print 6 months Statement or 12 months Statement (PDF).
- Email the PDF if you send statements that way. The supplier email is on Maintain Supplier.
What to use when
- What did we pay this supplier last time? Purchase Price History.
- What is the supplier’s running balance? Balance Report.
- Which bills are still open or due? Due Document, or the invoice listing Outstanding greater than zero.
- How overdue is what we owe? Aging Report.
- What do I send the supplier? Statement Of Account.
- Apply a payment sitting unused. Maintain Knock-Off, not a report.
- Can we pay this bill from cash on hand? Assistant Can I pay this. It does not post.
- Cash purchases do not sit as outstanding. If aging looks small, those buys may have been Cash Purchase or cash-book expenses.
If something goes wrong
- Aging higher than you expect. A payment is missing, knock-off was not saved, or debit notes are not explained. Check Due Document and Maintain Knock-Off.
- Aging lower than you expected. Cash purchases, credit notes, payments already applied, or expenses posted outside accounts payable.
- Due dates look wrong. Check the supplier Credit Term, and Aging On (document date or due date).
- Statement empty. Wrong supplier or date range, or no posted accounts payable in that period.
- Can I pay this in chat disagrees with aging. Confirm Aging Date and company, and refresh after you Save payments.
