Sales reports

Purpose

  • See who owes you, what is due, how old the debt is, the statement to send the customer, and past selling prices.
  • These reports read posted sales documents and knock-off. They do not create invoices.
  • Screen: Sales → Sales Report.
  • Related: Sales Invoice Listing outstanding filter, Maintain Knock-Off, and Assistant Who owes me.
  • There is no report-builder wizard. Ask “who owes me” or “who owes me money” for a live books answer. Ask “how to print aging” or “how to print statement of account” for this chapter.

Menu

  • Sales Price History — past prices.
  • Balance Report — movement and closing balance.
  • Due Document — unpaid and due bills.
  • Aging Report — age of debt.
  • Statement Of Account — customer statement.

Before you start

  • Invoices and receipts you care about are saved, and knocked off where paid.
  • For one-customer reports, know the customer code or start typing the name.

Sales Price History

  • Sales → Sales Report → Sales Price History.
  • Set customer, item or product, and date range as shown. Click search.
  • Use it to see what you charged before you raise the next quote or invoice.
  • Print or export if the toolbar offers PDF or Excel.

Balance Report

  • Sales → Sales Report → Balance Report.
  • Optional Customer. Set Start Date and End Date.
  • Run or search. Print PDF or Export To Excel.
  • Opening, period movement, and closing should match invoices, credit notes, receipts, and knock-off in that range.

Due Document

  • Sales → Sales Report → Due Document.
  • Set Customer (or leave all), Date, and the due options on the screen (document types and include flags as listed).
  • Search. Lists documents still due. Use it to chase payment or to prepare receipts.
  • Print or export from the toolbar.

Aging Report

  • Sales → Sales Report → Aging Report.
  • Optional Customer. Set Aging Date.
  • Aging On: Document Date or Due Date. Due date uses credit Terms.
  • Optional Include Zero.
  • Search.
  • Print or Excel: Aging Summary, or Aging detail (6 Months).

Statement Of Account

  • Sales → Sales Report → Statement Of Account.
  • Select Customer (required to send a statement). Set dates as on the screen.
  • Print 6 months Statement or 12 months Statement (PDF).
  • Email the PDF if you send statements that way. The customer email is on Maintain Customer.

What to use when

  • What did we charge this customer last time? Sales Price History.
  • What is the customer’s running balance? Balance Report.
  • Which invoices are still open or due? Due Document, or the invoice listing Outstanding greater than zero.
  • How overdue is the debt? Aging Report.
  • What do I send the customer? Statement Of Account.
  • Apply a payment sitting unused. Maintain Knock-Off, not a report.
  • Cash sales do not sit as outstanding. If aging looks small, those sales may have been Cash Sales.

If something goes wrong

  • Aging higher than the customer expects. A receipt is missing, knock-off was not saved, or debit notes are not explained. Check Due Document and Maintain Knock-Off.
  • Aging lower than you expected. Cash sales, credit notes, or receipts are already applied.
  • Due dates look wrong. Check the customer Credit Term, and Aging On (document date or due date).
  • Statement empty. Wrong customer or date range, or no posted customer balance in that period.
  • Who owes me in chat disagrees with aging. Confirm Aging Date and company, and refresh after you Save receipts.
