Glossary

Purpose

  • Look up a word the other chapters use. Each entry is the KinraSoft meaning, plus the chapter that does the job.

  • Read the meaning.
  • Open the chapter at the end of the line when you need the steps.

Words

  • Financial start period — first day of the company’s financial year. See Financial start period.
  • System conversion date — first day you key new invoices into KinraSoft. Same as or after the financial start. See Financial start period.
  • Past invoice — a customer or supplier bill dated before the conversion date. It feeds opening balances. It is not a new sale. See Customer and supplier opening balances.
  • Opening balance — ledger amounts brought forward from the old system, as at the day before conversion. See Opening balance.
  • Retained earnings — profit kept in the business. Enter the figure as at the financial start. Year-end close writes the next year’s opening. See Opening balance and Year-end closing.
  • Control account — one ledger account that holds the total of a sub-ledger. Customer control (debtors) is under Current Asset. Supplier control (creditors) is under Current Liability. The red rows on opening balance are filled by past bills and stock, not by typing. See Chart of accounts and Opening balance.
  • Knock-off — apply a receipt, payment, credit note, or debit note to the invoices it settles. Oldest first applies to the earliest open bills. Money left over is unapplied. See Customer receipt and supplier payment.
  • Sales invoice — you billed a customer who still owes you. See Sales invoice.
  • Cash sale — the customer paid now (counter or walk-in). See Cash sales.
  • Purchase invoice — a supplier bill you still owe. See Purchase invoice.
  • Expense — a cost already paid from bank or cash, with no supplier invoice left open. See Expenses.
  • Next No. — KinraSoft assigns the next document number when you leave the number blank. See Document numbers.
  • SST — Malaysia sales and service tax on current documents. See Maintain Tax, SST/GST, and SST return and SST audit.
  • GST — the old goods and services tax. Not on the live side menu. Use it only for a historical company. See SST/GST.
  • TIN — tax identification number on the company, customer, or supplier. MyInvois rejects a document without the right TIN. See LHDN Client ID and Buyer and supplier TIN.
  • MyInvois — LHDN / IRBM system that receives e-Invoices. See e-Invoice in KinraSoft.
  • Unique Identifier — the number MyInvois assigns when status becomes Valid. Your invoice number does not change. See Submit and check status.
  • Submitted — MyInvois has the file. IRBM has not finished. Refresh until Valid or Invalid. See Submit and check status.
  • Valid — IRBM accepted the e-Invoice. You cannot edit it on MyInvois. See Submit and check status.
  • Invalid — IRBM rejected it. Read the reason, fix the data, submit again. See Submit and check status and Troubleshooting.
  • 72 hours — how long you may cancel an e-Invoice after generation. After that, use a credit note, debit note, or refund note. See Submit and check status and Credit, debit, and refund notes.
  • Consolidated e-Invoice — one MyInvois document that packs unsubmitted receipts for a calendar month (walk-in / general public). Not for related-company sales. See Consolidated e-Invoice.
  • Self-billed e-Invoice — you issue the e-Invoice as the buyer (agents, foreign suppliers, and the other cases in self-billed). See Self-billed e-Invoice.
  • Out of balance — on Bank Reconciliation, statement balance and KinraSoft balance for that bank are not equal. See Bank reconciliation.
  • Reconciliation difference — on the cash flow statement, ledger cash minus the cash the statement calculated. A different check from bank recon. See Cash flow statement.
  • Month-end lock — stops new postings into a finished month. Lives on Year End Closing. See Month-end close.
  • Premium — the plan that opens locations, product documents, and stock reports. Basic and Plus have a shorter product form. See Create and edit a company and Inventory.
  • Debtor means a customer who owes you. Creditor means a supplier you owe.
  • Chat and the screens share one set of books. A word in chat is the same document as the side-menu chapter.
